How can we ensure the witness has signed when both signer and witness use the same device?

How SignedX records witness identity and signatures during same-device electronic witnessing.

Electronic witnessing is widely accepted and increasingly common as businesses and individuals look for flexible, digital-first ways to complete documents. SignedX supports electronic witnessing by capturing the necessary details to verify who was present and who signed.

How SignedX handles same-device witnessing

When a witness signs electronically on the same device as the primary signer, SignedX records:

  • The witness's full name
  • The witness's email address

These details form part of the envelope's audit trail, ensuring clarity about who witnessed the signature.

Because the signer and witness are sharing the same device, SignedX relies on the signer's declaration that the individual physically present with them is the person identified by the witness name and email address, and is the true owner of the electronic witness signature. This declaration is captured and embedded within the signing record, forming part of the evidence package.

Why electronic witnessing is more secure

Electronic witnessing provides a significantly stronger evidence trail than traditional paper-based witnessing. With a paper document, the only record of a witness being present is a handwritten signature on a page — there is no way to verify when it was signed, where it was signed, or confirm the identity of the witness after the fact.

By contrast, every electronic witness event in SignedX captures:

  • Full name and email address of the witness
  • Timestamp of exactly when the witness signed
  • Device and browser information for the signing session
  • Authentication method used to access the envelope (if applicable)
  • IP address and location data (if available)
  • A complete audit log showing who signed, in what order, and when

This metadata creates a far more robust and defensible record than a traditional signature ever could. While some may question the ease of electronic witnessing, the reality is that witnessing a document on paper — where none of this information is captured — is far easier to fabricate. Electronic witnessing raises the bar by tying every action to verifiable, timestamped data.
