Reusable envelope names and messages for every send.
Message templates eliminate repetitive typing of identical envelope names and recipient messages. They ensure consistent naming and messaging across teams, particularly useful for high-volume sends or standardised processes (such as monthly engagement letter layouts).
Each template configures an envelope name and a message to recipients. When selected during sending, these fields are populated automatically, though users can edit before transmission. Administrators manage templates via Settings → Message templates.
How message templates work
A message template stores:
- Template name — its label in the dropdown menu when sending
- Envelope name (optional) — applied when the template is selected, replacing existing envelope name content
- Envelope message — text populating the Message to recipients field on Step 4 (Review envelope)
Both envelope message and envelope name support individual placeholders.
Placeholders for envelope messages
Placeholders within Envelope message allow the same template to display personalised content for each recipient, functioning similarly to Add private messages.

During template editing or Step 4 review, placeholders display exactly as typed. Upon sending, they resolve to each recipient's actual details in emails and on the signing page. Placeholders must match the exact format shown, with no interior spacing.
Placeholders for envelope names
These placeholders resolve using recipient data from the envelope, creating a
single envelope name for the entire send. Use these in the Envelope name
field, where the number indicates the recipient's position (first recipient is
1, up to 9):

Template availability
The Template availability setting controls who can select a template during sending:
- Administrator accounts (default) — only administrators and the creating administrator can access the template
- All accounts in organisation — every organisational account can use the template
- Group: [name] — only group members can use the template
Only administrators create, edit, and delete message templates. Standard accounts can utilise templates shared through availability settings.
