Stamps for Electronic Notarisation

Use digital stamps in SignedX as an alternative to handwritten signatures, with a full audit trail.

SignedX provides support for digital stamps, commonly used in Japan as an alternative to handwritten signatures.

What is a stamp?

A Stamp represents approval, identity, or notarisation in digital workflows. In Japanese business and legal contexts, stamps such as inkan or hanko traditionally indicate identity and approval. SignedX integrates this practice into secure digital signing processes.

Adding a stamp field to a document

To include a stamp field when preparing an envelope:

Open the envelope you're preparing.
Select Stamp from the Fields panel.
Drag and drop the Stamp field onto the document.

Applying a stamp when signing

During the signing session, assigned recipients will be prompted to complete the Stamp field. Recipients can:

  • Upload an image of their stamp, or
  • Have their saved stamp applied automatically

Once applied, the stamp becomes integrated into the final document with tamper-evident protection.

Saving a default stamp

Recipients can store a default stamp for efficiency:

Navigate to My Account.
Upload or create your Stamp (and Signature, if required).

Saved stamps are automatically available whenever a Stamp field appears during signing.

Security and audit trail

Every stamp applied in SignedX is protected by a full audit trail. This includes who applied the stamp, when it was applied, and how the document was completed — ensuring trust, transparency, and compliance across every notarisation workflow.
